Moving a domain portfolio to a new platform often looks simple at first. In reality, it quickly becomes complex. TLD rules differ. Some require auth-codes, others registry pushes. Renewal rules vary. Locks, validations and FOA workflows add more variables.
That is why we developed the Domain Transfer Service (DTS): a structured approach to large-scale domain migrations that replaces uncertainty with planning, automation and expert guidance.
A migration plan per TLD
A successful migration starts with a complete inventory. Which domains are registered where? Which extensions are involved? What are the constraints?
With our DTS, we define a migration strategy per TLD. Some extensions support registry push. Others require auth-code transfers. Renewal impact can differ per registry.
By mapping these rules in advance, we optimise timing, cost and risk, while minimising disruption and unnecessary interaction for your end customers.
The migration typically follows clear phases:
- Discovery and portfolio intake
Confirm scope, suppliers, TLD mix and constraints. - Migration strategy per TLD
Define the correct route per extension. - Onboarding and environment setup
Account configuration and access alignment. - Optional integration support
Align API and operational workflows before bulk transfers start. - Redirect new registrations
Ensure new domains land directly in the new environment. - Controlled bulk migration
Execute transfers in scheduled waves with monitoring. - Wrap-up and stabilisation
Resolve remaining edge cases and confirm the new baseline.
This structured approach turns a potentially disruptive project into a controlled transition.
No spreadsheets. No manual guesswork.
DTS can connect to your current supplier and automatically import your active portfolio. You can exclude specific TLDs if required. This avoids managing large migrations through spreadsheets and manual tracking. Everything is visible and structured inside one controlled environment.
Automated scheduling that respects expiry dates
One of the most critical aspects of domain migration is timing.
DTS includes a Domain Scheduler that initiates transfers based on configurable rules. For example, you can trigger transfers shortly before expiry, or after a domain has already been renewed. This reduces overlap costs and lowers operational risk.
Before initiating a transfer, DTS checks:
- Expiry dates
- Transfer locks
- Privacy status
- Auth-code readiness
- 60-day create locks
Only when the conditions are correct does the system trigger the transfer.
Managing auth-codes and FOA workflows
For TLDs that require it, DTS supports the operational reality of FOA (Form of Authorisation emails) processes. Where possible, approvals can be bundled to reduce customer fatigue.
Outgoing FOA behaviour is monitored. Approvals, rejections and automatic completions are tracked. Transfers can be re-requested when needed.
Guardrails are built in, so no transfer disappears into silence.
Branded communication, aligned with your identity
When registrant validation is required, DTS supports branded templates and clear messaging. Communication can remain aligned with your tone and brand.
The recommended approach is simple: keep it short, explain the benefit, and clarify that operationally nothing changes for the end customer. In many cases, no action is required from them, although outgoing FOA emails may still be sent by the current registrar.
Full visibility and pause control
Large migrations require oversight. DTS provides live dashboards with status pipelines, cost visibility and safeguards such as funds watermarking. If needed, migration waves can be paused or adjusted.
Progress is transparent at every stage.
Direct coordination. No ticket ping-pong.
Complex migrations require fast decisions. DTS is supported by short communication lines between product, engineering and migration stakeholders. Shared Slack channels are often used to keep alignment high and delays low.
When a registry push is the smarter route
For certain extensions, a registry bulk transfer can be the fastest and least intrusive option. In some cases, only documentation is required, with minimal registrant involvement. Depending on volume and registry fee structures, this can also be cost-efficient.
Included as part of our service
DTS is included as added value of Realtime Register’s service offering. Costs are primarily driven by registry transfer and renewal rules.
As part of our broader ecosystem approach, we continue to invest in connected solutions that help service providers operate with more control and less complexity.
Planning a consolidation or platform move?
If you are consolidating portfolios across registrars or moving away from a legacy platform, we can help you:
- Define the correct migration method per TLD
- Configure scheduling and safeguards
- Execute transfers with full visibility
- Coordinate efficiently across teams
Domain migrations do not have to be risky or chaotic.
